TickitHUB - Adding and Updating an Operative/Warden

The purpose of this document is to walk you through the process of adding a new Operative to TickitHUB.

Tickit Hub permissions required for this process:

  • Warden Management

    • Operatives

The Process

Firstly you want to navigate to the operative list on TickitHUB. This is found within Warden Management > Operatives on the menu on the left hand side. This will display the list of all operatives which have previously been added to the system.

Details

To add a new operative to the list, start by clicking the Add button at the base of this list. This will then display the below form (any header with an * is a mandatory field):


Operative Type *

This section is what is used to define if the operative will be issuing a PCN or an NTO. This will also filter the locations that can be linked to this operative depending on if the Location is setup for NTO only etc. At least one of these options need to be selected

Location Manager

Should you wish to set this operative up as a Location Manager which allows them to be selected on the Location, you should Tick this box.

Account Manager

Should you wish to set this operative up as a Location Manager which allows them to be selected on the Location, you should Tick this box.

Management Area *

This will be used to define what area of the country that the operative will be patrolling. When assigning the locations to the operative, this will help narrow down the list that you can select from when selecting them in the Locations tab.

Personal Details *

  • First & Last Name

    • These fields are Mandatory when adding/updating an operative on TickitHUB.

  • Other details like the contact details are recommended but not mandatory.

Start & End Date

These details refer to when the operative is contracted to start working, and when they are set to terminate their contract with the company. These aren’t mandatory fields to fill out.

Comments

This area is for any general comments you will to add about the operative. Some companies fill out uniform requirements here, as an example.

Handheld Account Name

This is the username that the operative will use when they sign into the Tickit Mobile app on the phone. This needs to be unique for each operative. Some clients use the first few letters of the operatives first name as the username. This is

Handheld Password

This is the password that the operative will use when they sign into the Tickit Mobile app on the phone. This needs to be unique for each operative. Some clients use the first few letters of the operatives last name as the password.

Devices

This table is where you select the devices you want the operative to login to using the above mentioned Account Name and Password.


Any devices which are already listed are the ones that the operative will currently be able to login to and access their locations etc. If you wish to remove an operative from a device, then click the red cross on the right hand side. This will remove the device from the list.

If you want to assign the operative to another device, click the drop down list at the bottom of the Name column. This will list all the devices which aren’t currently allocated to the operative. Select the device you want the operative to be able to access, then press the green plus on the right hand side.

Locations

This tab is where you will select the locations that the operative will be patrolling.


To select a location, simply click the box in the allocated column. This will display a tick highlighting the fact its be selected.

To select or deselect all locations listed you will need to use the smaller icons at the bottom of the allocated column. The icon displaying 2 ticked boxes will select all locations, the icon displaying 2 blank boxes will deselect all locations.

Once you have made the selections, you will need to press update. Or these changes won’t be saved.

Can’t see the location?

  • Ensure that the Management Area matches what has been selected on the location. If these are different, then the location won’t be available to this operative.

  • Ensure the Operative Type shares one of the operatives types which have been used to setup the location.

    • For example, if the location is only setup for NTO but the operative is only setup for Parking Operative then you won’t be able to see the location to select. However, if the operative was setup for Parking Operative AND NTO, then you would be able to select the location.

Operative Preferences

This tab is for enabling the different features within Tickit Mobile for the operative to access when they login.



Time Management

  • This will enable a feature named Activity Log. This is used to log what the operative does throughout the day. This is good for seeing how long an operative may have been patrolling on site for, or how long they had a lunch break for.

  • This can then be reported on from TickitHUB.

Tasks

  • This is used to assign different tasks to the operative through Tickit Mobile, this way they will be able to take photos, make notes and mark the task as complete from the app.

  • The tasks are created and monitored from TickitHUB.

  • Examples of Tasks may be:

    • Clear up broken glass that was reported on Car Park A.

    • Replace P&D paper roll on Car Park B.

Vehicle Logs

  • This is one of the ways of logging vehicles on within Tickit Mobile.

Handheld Setup

  • This enabled another icon from the home screen of Tickit Mobile. From here, the operative will be able to pair and install a new printer or test an existing printer they have previously paired to the device.

PCN Access

  • This is used when creating a TickitHUB user for the operative, the login will only then display the PCNs issued by this operative.

Location List Order

  • This defines the order the locations are displayed on the handheld.

  • This is set to Location Code by default, however this can be organised by Location Name.

Notes

This is a very self explanatory tab. If you have any notes you wish to have associated with the operative, these can be saved here.

Commission

In this tab, you will allocate a commission band to the operative, if this is something you have already setup.


The drop down under Commission Band will give you the option of which band you wish you use. These options are setup under Commissions > Commission Setup.

Then you will need to select the Start Date on when you want the commission to start from.

To add this setup to the operative, click the green plus on the right hand side. If you don’t press this, the new configuration won’t be saved.
